A few things I learned from our tent rental experience (and other weddings I’ve attended). 1. If the wedding is at night, consider getting some lights for the stakes/ropes that are holding up your tent. We bought a big box of solar-powered stake lights (typically used for landscaping) at Costco and used them to mark the stakes to avoid tripping hazards. 2. We attended a fall wedding and the weather got unseasonably cold the weekend of the wedding, causing the ground to freeze slightly. On the day of the wedding, the grass inside the tent started off mushy and just got worse as the evening went along. We still had fun, but our shoes ended up being pretty dirty. At our own wedding, we used a few outdoor rugs for decoration and to keep things clean(er). 3. Our site (the front yard of my husband’s family vacation home) had a lot of trees, so we ended up having to get several smaller pole tents and arrange them in an L shape to make everything fit. We didn’t have sides on any of the tents, so it was easy for guests to hop from one tent to the next. Our rented dance floor was outside, uncovered, but we could have put it under one of the tents if necessary.

It will cost as little as $100 to rent a tent for one day. This will get you a 100 square foot tent. This is as small as they come for tent rentals. You may be able to fit 10 people in a tent like this. This is for a very small group or, perhaps, a good tent for a single booth or gathering.

Also keep in mind that Sperry Tents—a pole-style tent made of  sail-cloth fabric vs. a traditional vinyl—are pretty much in a category of their own. While you might prefer one type of tent over another, you will have to go with the wedding tent type that works best for your space. For example, tent frames are best for narrow spaces, whereas pole tents work best for spaces that are at least 30” wide.

Customers generally confirm their tent reservations by signing a rental agreement and by paying a deposit, usually one third of the tent’s rental fee. Read the details of your rental agreement carefully, and know the cancellation policy. In some cases, if cancelled within less than 14 days of the event, your deposit may be non-refundable.

As a general rule, you’ll want to choose the squarest tent your site will allow. A squarer tent will have a taller ceiling, which in addition to looking better will also keep the tent cooler. Also, it’s much easier to make sure that all of your guests feel included when you’re seated in a squarer shaped tent.

If you are considering using a tent, the time to contact vendors is right after you set the date. Many tent-rental firms are full-service, providing everything that’s needed for a tent wedding and reception: tables, chairs, linens, and place settings, in addition to flooring, lighting, generators, heating or air-conditioning units, and portable restrooms. Most have a showroom with samples of the choices available, as well as portfolios with photographs from previous events.

It’s important to factor in whether you will need to rent a wedding tent early on in the planning process. When you’re looking at venues, you’ll want to factor the pricing of the tent into any venue that doesn’t have indoor options. Essentially, if you’re considering outdoor venues and there is more than a remote chance of inclement weather on your wedding date (I think pretty much the entire Eastern Seaboard?), renting a tent should be lumped into the “book your venue” task on your to-do list. Tents can sometimes be expensive (depending on a number of factors we’ll talk about below), so you’ll want to factor it into the budget before you fall in love with your dream venue.

If you’re having an open-air ceremony at the reception site as well, it’s a good idea to reserve a backup tent for it in case of bad weather. Since you’ll need only chairs (not tables), this tent can be smaller than the one for the reception. For a Saturday wedding, the company usually needs to know by the Wednesday before if, based on the forecast, you want to install the backup tent.

If there’s space in the stone pavilion, work with what you’ve got & save some cash! Other considerations depend on the venue layout – it might be weird for guests to walk past an empty tent on the grounds. If there’s someplace you could “hide” a big white tent, or you can think of another way to re-purpose it (i.e. a welcome tent with a beverage station, programs/parasols/fans/whatever handouts, and a sunscreen/bugspray station), then go for it.

Walls and FlooringA popular choice with any tent style is to have sidewalls all around that can be raised for ventilation or lowered for protection from the elements. Solid white vinyl offers privacy; clear vinyl or walls with windows allow for views. Another area to consider is flooring.There are basically three options: the plain ground, a partial floor for dancing, or a full floor under the tent. The ground, of course, is the least expensive one but it may be difficult to walk on for guests wearing heels and can get messy if it rains. If the tent is to be placed on a deeply sloped area, your vendor will probably suggest constructing a full — and level — floor.

The Fine PrintBefore signing a contract, ask tent vendors for references from customers who’ve hired them for weddings. And be sure your contract is fully itemized with all fees and services time frames for tent setup and breakdown, deposit amount (usually 50 percent), balance-due date, and cancellation policy. The contract should also specify the policy for a backup ceremony tent if needed.
